A useful RFQ identifies PCB fabrication, component supply, assembly, setup and any agreed programming, testing or mechanical work.

Separate one-time engineering or fixture work from repeatable batch costs. Identify charges that apply per order, per assembled board or per component procurement. Ask what is excluded before comparing totals.

Give quantity alternatives the same scope

Request the quantities you are considering, clearly marked as alternatives. Keep the revision, components and acceptance criteria identical so that differences reflect quantity rather than a changed specification.

Small batches may carry setup or procurement costs that are spread across fewer boards. Component purchase quantities may also differ from fitted quantities because of packaging, minimum purchase amounts or agreed process allowances. Ask how excess purchased parts are handled.

Do not assume that multiplying a displayed bare-board price by quantity estimates a PCBA order. A completed assembly quote requires the actual parts and work definition.

Make the BOM quotable

Provide manufacturer part numbers, reference designators, values, footprints and quantities. Distinguish fitted components from DNP items, and state whether alternatives need approval. For customer-supplied parts, identify packaging, quantities and delivery arrangements.

Ask the reviewer to identify unavailable components, long-lead items and proposed changes. A lower price based on a different module, connector or unapproved substitute is a different offer. Resolve those differences before accepting it.

Use a controlled component alternative approval process when the design depends on electrical, mechanical or firmware compatibility.

Define assembly, programming and test work

Specify assembly sides, through-hole parts, manual soldering, connectors and mechanical hardware. State whether firmware programming is needed and provide the image, programming procedure and verification requirements.

For testing, distinguish visual inspection from a powered functional test. Identify the procedure, connections, fixtures, pass/fail limits and result records. If a fixture must be developed, ask for that work to be quoted separately.

Clarify whether enclosure assembly, labeling, cables and packaging are included. An assembled circuit board is not automatically a complete ready-to-use device.

Keep production and transit time separate

State the requested delivery date and destination, then ask when the production clock starts and which conditions affect it. File approval, component availability and an agreed test procedure may need to be resolved before scheduling.

Compare manufacturing lead time separately from shipping transit. Confirm whether shipping, import-related charges and any requested documentation are included. Identify quote validity and material-availability assumptions rather than treating an early estimate as a fixed commitment.

Use this RFQ checklist

Project/revision: [reference].
